ATS Friendly Resume: How to Build One That Gets Past the Bots

An ATS friendly resume is simple to parse and rich in the right keywords. Learn the exact rules for layout, fonts, headings and file type, with a checklist.

An ATS friendly resume uses a simple single-column layout, standard headings, real selectable text and keywords from the job post. If software can read it cleanly, a recruiter can find you.

An applicant tracking system (ATS) stores applications and lets recruiters search them. It does not usually "reject" resumes on its own, but if it cannot read yours, you may never show up in a search. For a deeper look at what happens inside, read how ATS software reads your resume.

The 10 rules of an ATS friendly resume

1. Use a single-column layout

Multi-column designs can be read in the wrong order. A single column keeps your job titles, dates and skills where they belong.

2. Use standard section headings

Stick to names the software expects: Summary, Work Experience, Education, Skills, Certifications, Projects. Avoid creative titles like "My Journey".

3. Keep contact details in the body

Do not hide your name, phone or email in the header or footer, since some systems skip those areas.

4. Choose simple, common fonts

Arial, Calibri, Georgia, Garamond and similar fonts are safe. Use 10 to 12 pt for body text and avoid very wide letter-spacing, which can split words into single letters.

5. Skip images, icons and skill bars

An ATS reads text only. Text inside graphics is lost, and star ratings carry no data. Write skills as words.

6. Use plain bullets and consistent dates

Round or square bullets are fine. Write dates in one style throughout, for example "Jan 2023 - Present".

7. Avoid tables for layout

Tables can scramble reading order. Use them only if you are sure the export keeps text in order.

8. Use keywords from the job post

Copy the exact names of tools, skills and titles when they honestly apply to you. Use both the full term and the acronym once, such as "Search Engine Optimization (SEO)".

9. Save as PDF or DOCX with real text

If you can highlight and copy text in the PDF, the ATS usually can too. Never upload a scanned image or a photo of a resume. Use DOCX if the portal asks for it.

10. Name the file clearly

FirstName-LastName-Resume.pdf is better than final_v7_new.pdf.

A myth worth clearing up

An ATS friendly resume does not have to be boring. Good typography, whitespace and a subtle accent colour are all fine. What matters is clean structure and readable text.
