How to Build a Resume in 2026: A Step-by-Step Guide
A practical walkthrough for building a resume from scratch, from choosing a format and writing each section to checking it for applicant tracking systems and downloading a clean PDF.

To build a resume, choose a clean format, add your contact details, write a short summary, list your experience with measurable results, add education and skills, then export it as a PDF. Most people can finish a solid first draft in under an hour. This guide walks through each step and tells you what to leave out.
If you would rather start with a layout, open the free resume builder, pick a template and follow along. Nothing needs to be installed and there is no sign-up.
Step 1: Pick the right format
Your format decides what the reader sees first.
- Reverse-chronological: newest job first. It is the default for most roles and the one applicant tracking systems read best.
- Functional: groups skills before jobs. It hides gaps but many recruiters distrust it.
- Combination: a skills summary followed by dated experience. It suits career changers.
If you are a student or a fresher, read the best resume format for freshers. If you apply in the UK or Europe, see UK CV vs US resume for the differences in length and personal details.
Step 2: Add clear contact details
Put these at the top, in plain text:
- Full name
- Phone number
- Professional email address
- City and country (a full street address is not needed)
- LinkedIn or portfolio link, if relevant
Skip the photo unless the country or employer expects one. Avoid putting contact details inside headers or images, because some systems skip them.
Step 3: Write a short summary
Two or three sentences that say who you are, what you do well, and what you want next. Keep it specific.
Operations analyst with four years in e-commerce logistics. Cut delivery delays by 22 percent by redesigning dispatch routes. Looking to move into supply chain planning.
For a formula and examples, read how to write a resume summary.
Step 4: List your experience with results
For each job, include the title, company, location and dates. Then add three to five bullet points.
Write bullets that show outcomes, not duties:
- Weak: "Responsible for customer support."
- Strong: "Resolved 40+ customer tickets a day and raised satisfaction from 82 to 91 percent."
A simple pattern is: action verb, what you did, measurable result. If you do not have numbers, use scale (team size, volume, time saved).
Step 5: Add education and certifications
List your highest qualification first, with the school, degree and graduation year. If you have more than three years of experience, keep this section short. Freshers can add relevant coursework, projects and grades.
Add certifications only when they relate to the job you want.
Step 6: Choose skills that match the job
Read the job description and note the skills it repeats. Add those you truly have to a skills section, split into groups if the list is long:
- Tools: Excel, SQL, Figma
- Languages: English, Hindi
- Soft skills only when you can back them up elsewhere
Copying keywords you cannot back up will cost you at the interview, so be honest.
Step 7: Keep it to one page when you can
One page works for most people with under ten years of experience. Two pages are fine for senior roles, researchers and academics. Cut anything older than 10 to 15 years unless it is directly relevant.
Step 8: Check it against applicant tracking systems
Many employers filter resumes with software before a person sees them. To stay readable:
- Use standard section names such as Experience, Education and Skills.
- Use a simple single-column or lightly structured layout.
- Avoid text boxes, tables for body text, and icons for key information.
- Export a real PDF with selectable text.

Step 9: Proofread and export
- Read it aloud once. Typos stand out when you hear them.
- Check tenses: past roles in past tense, your current role in present tense.
- Keep dates and formatting consistent.
- Name the file
Firstname-Lastname-Resume.pdf.
